Responsibilities:

  • Oversee and manage all client communications related to intake, authorizations, and onboarding of new patients
  • Supervise scheduling of intake appointments and initial assessments
  • Review and manage new referrals to ensure timely processing
  • Ensure accurate booking of all new intake appointments
  • Oversee the relay of benefit information to clients and families
  • Ensure activity logs are added accurately and as needed
  • Manage insurance benefits and eligibility verification processes
  • Ensure welcome emails are sent to clients/parents in a timely manner
  • Oversee responses to client and staff calls, text messages, and emails
  • Ensure collection and uploading of required documentation, including diagnosis reports and insurance cards
  • Maintain oversight of an accurate, up-to-date client database
  • Ensure strict adherence to federal HIPAA regulations and company policies and procedures
  • Complete additional administrative and operational tasks as assigned by leadership
  • Create and maintain a stress-free, supportive onboarding experience for new families
  • Guide families through the therapy process while supporting and mentoring intake staff

Requirements:

  • Experience in administrative management, customer service leadership, client relations, or related areas
  • Experience creating, maintaining, and overseeing spreadsheets and databases
  • Excellent proficiency in written and spoken English
  • Strong ability to organize, prioritize, and independently implement work activities
  • Exceptional communication and leadership skills
  • Ability to accurately perceive, interpret, and respond appropriately to verbal and non-verbal communication
  • Trustworthy with a strong work ethic and attention to detail
  • Proven ability to exercise professional judgment and decision-making
  • Proven ability to establish and maintain effective working relationships with staff, parents, and external agencies
  • Demonstrated success in problem-solving and time management
  • Bilingual preferred (English/Spanish)
